Food@godalming – Data Protection Statement
This Statement complements the Student Data Protection Statement, and the Data Protection Policy
What information will we collect about you?
When you register to use the app, you are consenting to use the app to access catering facilities at Godalming College. If you choose not to consent, you can access catering facilities in person. If you wish to withdraw your consent, you can un-register the app at any time.
When you register, and use the food@godalming mobile app service, we will collect information about you, and we may associate this with your College account in order to verify your identity, check your eligibility for offers, incentives, and your entitlement to subsidised food including free school meals. This can include your name, student number or staff ID, and information which will verify your payment details. We will not store your payment details themselves without your consent.
How will we process your information
The information you provide will be used to administer the delivery of catering services to you, and monitor the use of College facilities.
We may check your use of free school meals (if you are entitled) for welfare and safeguarding purposes, but this will not be associated with your academic record.
We may use your information to alert you to issues arising from a health alert (for example, if we discover food contamination), and identify your use of the College facility.
We may also use this information in the event of a serious breach of the Student Contract in order to assist an investigation, and then only with the authority of the Data Protection Officer and the Principal.
How long will we keep this information?
We will keep your information only for as long as is needed to administer the catering facility. Normally this will be the duration of time you are a student, and in line with the College’s Data Retention schedules.
Who will we share your information with?
Your information will be available to the support companies which maintain the App and associated systems. If you are entitled to free school meals or subsidised catering, your useage will be used for monitoring. All information which has a financial component are subject to audit by an accredited company, with the agreement of the College.
We may share your information with Public Health England, or similar government agencies, should it be deemed necessary to protect you or others from harm.
We will not use your information in any way which is not compatible with the College Data Protection Policy.
